Complete guide: how to build your wedding seating plan

The seating plan is one of the most stressful tasks for couples. Deciding who sits with whom, avoiding family conflicts, balancing tables and making sure nobody is left out. All with 100, 200 or more guests.

Planivia turns this process into something visual and intuitive. You sketch your venue's layout, place tables wherever you want and drag guests to each table with a single click or tap. If something doesn't fit, rearrange in seconds. No paper, no sticky notes, no spreadsheets.

When should I build the seating plan?

The ideal time to start is 1-2 months before the wedding, once you have most confirmations. But you can prepare the structure earlier: define the number of tables, their shape (round, square, long) and layout in the room. That way, when final confirmations arrive, you just have to place people.

Tips for a great seating plan

Group by affinity — Family with family, friends with friends. Don't mix groups who don't know each other unless intentional.
Avoid conflicts — If there are family members who don't get along, put them at separate tables. Planivia detects conflicts automatically if you set rules.
Strategic head table — The couple, parents and witnesses usually go at the main table. Place it visibly for everyone.
Kids together — If there are many children, consider a kids' table with a special menu and entertainment.
Leave margin — There are always last-minute cancellations and add-ons. Leave 1-2 extra seats per table.
Export to PDF — Planivia generates a printable layout with names and table numbers. Perfect to hand to the venue coordinator.

Types of wedding tables

Round tables (8-10 people) are most popular because they make conversation easier. Long tables (12-20 people) add an elegant touch and work well in narrow rooms. Square tables (4-8 people) are ideal for intimate weddings. Planivia supports all formats and you can mix them in the same layout.

Seating plan FAQs

How many people fit at a wedding table?

A standard round 1.8 m table fits 8 to 10 people comfortably. Long (imperial) tables fit 12 to 20 per table. Square ones fit 4 to 8. Planivia warns you if you try to seat more people than fit.

Can I build the seating plan without final confirmations?

Yes, Planivia's seating plan lets you work with tentative or confirmed guests. We recommend waiting until you have 80%+ confirmations before finalizing. Changes are easy until the last day.

Can I export the layout to print?

Yes, you can export the seating plan to high-quality PDF, ready to print in A3 or A2 size. You can also generate place cards with guest names automatically.

Is the seating plan connected to the guest list?

Yes, when a guest confirms or cancels in the guest list, the seating plan updates automatically. No duplicates or inconsistencies. Everything in real time.

Visual seating plan: drag guests onto their tables

Drag-and-drop visual editor

Create tables of any shape (round, rectangular, oval, U-shaped or T-shaped head table) and drag guests from your list onto each table with mouse or finger on mobile. Each table shows capacity, seats filled, aggregated dietary restrictions and possible conflicts.

Automatic conflict detection

The editor warns you when you try to seat separated couples on the same table, mix guests with allergies on a non-compatible menu table, leave a kid without a nearby adult, or separate groups that should stay together (same families, same work friends).

Your real venue, not generic templates

Upload your venue floor plan (photo, PDF or sketch) and place tables in their real position. Visualise where the doors, DJ, restrooms, and bar are. Useful to coordinate with the venue manager and for final printing.

Works on mobile and desktop

The day before the reception you are probably managing last-minute changes from your phone. The editor works perfectly on small screens with touch gestures. Real-time sync with your partner.

Free up to 80 guests. No watermark, no card, no expiry. Start in 1 minute.
